How to Manage Stress at Work
It is fact that each of us got stressed out during work hour no matter what job we are doing. As a Technical Writer, we too will probably have situations at one time or other where you get stressed out as well. In order to avoid such situation, take a break or slow down for a while. Here are a few more ideas which will help us to overcome from the stress situations.Be Available – Make sure that you can be reached in case of changes that might affect the delivery of the project or if approval is needed for, e.g., approvals or updates to contents, parts and images, etc., that are to be included in a document.
Be Mindful – You should know what has to be done. Start your necessary documents as soon as you can to stay ahead. You can also plan ahead by creating possibility plans for any unexpected delays. Also, make sure that all existing problems are resolved. When you planning for a documentation projects, make sure that you should consider these para meters: such as, project requirements, inputs required, selecting resources and gathering data, and setting milestones. Make sure you have the right tools available to complete the project.
Be Organized – You should know what your delivery schedule. Create your own project plan and include the lead time if any unexpected delay. Create a road map that shows the progress of the project. Identify the risks, which will help in certain situations, such as, if a team member calls out or is unavailable, or if the delivery date is moved up, or a rework is necessary because of a drastic change in an application you were writing about.
Be Focused – have the end goal in mind. Make sure you are receiving the right information by asking all the relevant questions you need to for gathering your data. For example, ask about previous procedures and processes and who had delivered those tasks so that you can refer back to them if needed. Next, create a summary. When you are starts writing, create a chart and see if you need to update or include any other data.
Be Positive – that the project will deliver on time. If you think positive, it will reflect on your coworkers and your team. So that this will show them that everything is under control, and hence more productivity will occur. Maintaining positive also allows you to communicate more effectively and precisely. It helps you to remain calm and to express yourself better. Be positive in meetings, especially when the Technical Writer has to gather relevant information from the different stake holder. Sometimes many stake holders took their own time to provide the information, in those case you should have patient.
Be an Editor and review the deliveries. Make sure you have written the right information for the right people. For example, has the documentation been written for the nonnative speaker users.
